Before applying
Identify the organiser, venue, proposed date, tournament type, realistic timings and prize plan. Contact TDCA before announcing the event so the date can be considered alongside other district chess activities.
Apply for approval
Complete the Bid Application and Organiser Undertaking, attach the draft prospectus and ₹500 bid-fee proof, and email them to tirupurdistrictchess@gmail.com. Submission does not itself guarantee approval.
Approval and publicity
Do not announce the tournament or accept entries until TDCA issues final confirmation. An independent approved event may use “Approved by Tirupur District Chess Association”; wording such as “Organised by” or “Jointly organised by” must match the actual arrangement approved by TDCA.
Prepare the tournament
- Use only the approved prospectus
- Arrange sufficient boards, clocks, arbiters and volunteers
- Provide a safe playing hall, waiting area, drinking water, clean restrooms and basic first aid
- Plan realistic rounds, breaks, food, parking and crowd movement
- Use the operational checklist with the event team
Conduct and technical responsibilities
The Chief Arbiter manages the technical conduct, including pairings, results, Chess-Results updates and player-registration verification through the method communicated by TDCA. The organiser remains responsible for the venue, participant welfare, staffing, communication and orderly prize distribution.
Complete post-event requirements
Within two days of the tournament end date, the Chief Arbiter prepares the combined Post-Tournament Report and Levy Statement. The organiser verifies and signs it, then submits it and settles the 5% TDCA levy.
