Tournament Guidelines for Organizers

The Tirupur District Chess Circle (TDCC) recommends the following practical guidelines for all chess tournaments in Tirupur. They are designed to keep events on time, support children’s comfort and learning, and ensure clear communication with parents. Organizers may adapt them to their venue and schedule.

TDCC Chess Tournament Guidelines

(For organizers)

  1. Rounds (TDCC Recommendation)
    • We recommend 7 rounds so children play more real games.
    • Do not fix rounds only to “find a winner.”
  2. Open Category
    • Highly recommended for district development.
    • Skip only if the host school asks not to have it.
  3. Strict Schedule
    • Publish the full timetable in advance.
    • Start Round 1 by 9:30 AM (10:00 AM max).
    • Keep all rounds on time.
  4. Lunch Break
    • Give a 30–60 minute lunch break.
    • Keep younger players in mind.
  5. Pairings & Results
    • Show pairings/results in many visible places.
    • Upload quickly to chess-results.com and share a link or QR.
  6. Parents’ Waiting Area
    • Arrange enough chairs for parents in classrooms or shaded areas.
    • Keep this area separate from the playing hall.
  7. Score Sheets (Encourage)
    • Encourage children to write their moves (not compulsory).
    • If possible, keep score sheets and pens for sale at the venue.
  8. Clocks & Equipment
    • Get enough clocks (rent if needed) so rounds finish on time.
    • Recommended: 5 to 10 clocks per category.
  9. Drinking Water
    • Keep sufficient clean drinking water at easy-to-reach points.
  10. Food
    • Arrange snack/refreshment/lunch stalls.
    • If no hotels are within walking distance, provide on-site food.
    • If tokens are used, say where to buy and the last time to buy (and payment modes).
  11. Restrooms & Hygiene
    • Keep restrooms clean with running water and soap.
    • Refill and clean throughout the day.
  12. First Aid & Emergencies
    • Know the nearby hospitals/clinics and be ready to act.
    • Keep a first-aid kit and emergency phone numbers handy (no need to display).
  13. Parking & Access
    • Provide enough parking for cars and two-wheelers.
    • Open parking early (before reporting time).
    • Avoid disturbing the public.
    • Do not choose venues without proper parking.
  14. Hall Conduct & Device Checks (Proactive)
    • Keep the playing hall silent.
    • Before each round, arbiters must tell children: no watches, no phones, no devices.
    • Arbiters should check proactively. Prevent issues; do not wait for incidents.
  15. Time Control & Tie-Breaks (Clarity)
    • Clearly state time control, number of rounds, and tie-breaks (prospectus, notice board, event link).
  16. Communication & Updates
    • Create a WhatsApp group only if you can share timely, proper updates.
    • Use PA/speakers as well.
    • Assign a dedicated announcements person.
    • Do not reuse or rebrand the WhatsApp group after the event.
  17. Prospectus — Must Clearly State
    • Event name, dates, venue (map/link)
    • Categories/eligibility; whether Open is included
    • Rounds, time control, full schedule (reporting time, lunch break)
    • Entry fee, last date, late fee (if any), refund policy
    • Prizes (trophies/medals/cash), tie-breaks, certificate policy
    • How to register (link/form), organizer contacts
    • Arbiter/officials (if applicable)
    • Food details
    • Parking details
  18. Support from Venue Partner (If Possible)
    • Request teacher/student volunteers from the host school/college.
    • Roles: registration desks, seating guidance, notice boards, crowd flow.
  19. Plan with Host School/College
    • Plan the prize ceremony, any chief guests, and campus rules together.
    • If anything is different from routine, inform parents clearly.
  20. Prize Distribution (Fast & Orderly)
    • Publish final rankings before the ceremony (notice boards + WhatsApp).
    • Share the category order in advance.
    • Ask children to line up before stage calls.
    • Batch prizes to save time (e.g., for 20 prizes: Batch 1: 20–15, Batch 2: 14–9, Batch 3: 8–4, Batch 4: 3–1).
  21. General Behaviour
    • Be polite and respectful with parents and players.
    • Handle questions and complaints calmly and courteously.
  22. Checklist
    • Keep a full checklist: venue, schedule, clocks, boards, water, food, restrooms, first-aid, parking, announcements, pairings upload, volunteers, prize ceremony.
    • Tick items before event day.
